2.4 How long will the cookies be stored?
Cookies will automatically be deleted when they expire, after anywhere from 1 day to 730 days. Please note that cookies will be renewed each time you visit our website or use the Service.

Clio processes personal data about its users, customers, business partners and website visitors. We collect and process personal data because it is necessary for us in order to provide services and support to our customers and users. If we cannot process contact information and payment information, neither Clio nor our customers, users, suppliers and business partners will be able to fulfill their contractual obligations.

In other cases, we will process personal data if we have obtained your consent to process it. For example, when you sign up for our newsletter, we obtain your consent to process your personal data for that specific purpose.

Finally, as we want to be able to create the best products and give our customers the best user experience, we will also process personal data about your use of our website and the Service.

3.1 When you create a user profile and sign up for the Service
When you create a user profile for the Service, we will collect information about your name, e-mail, birthday and nationality. We collect this information as it is necessary in order for us to be able to grant you access to the Service and inform you about how to use the Service.

During the subscription period, we will collect information about your use of the Service and your interest in our products. This information will be used to personalize content and optimize products and services for various customer segments, and it is used for internal purposes only.

3.2 When you visit our website
Cookies will be stored on all devices of users who visit our website. These cookies do not contain personal data, but they allow us to collect certain information about you. Through the use of cookies, we are able to collect information about your IP address, the geographical location of your device, your browser, what pages you visit and how long you stay on each page.

3.3 When you sign up for our newsletter and events or complete user surveys
You may choose to sign up for our newsletter, and by giving your consent, you accept that you will receive weekly news and marketing material related to our products, events etc. When you sign up for our newsletter, we will process information about your name and e-mail. We need this information in order to be able to send you the newsletter.

Clio hosts events, conferences and courses. In order for you to be able to register for these events, and to ensure that you get the information you need about the events, it is necessary for us to process information about your name, job title, workplace and e-mail. 

Occasionally, we will send out surveys for different target groups and purposes. The surveys can be both anonymous and nonanonymous, and it will depend on the nature of each survey whether personal data will be collected or not. If the survey is nonanonymous, we will collect and process information about your name, gender, job title and geographical location. We will not collect this information without your permission.

3.4 When you engage with Clio via e-mail or social media
It is possible for our users, customers, suppliers and people in general to reach out to us through different channels. The purposes of such inquiries vary, but it is possible to contact us through e-mail, phone or social media with questions about a customer relationship or the processing of personal data.

When you reach out to us, we will process personal data about you. Typically, this will be information such as your name, phone number and e-mail, but please note that we will also store the information contained in the communication you send to us.

3.5 When you make use of the Service and Clio products in general
At Clio, we want to make sure that the Service and its content are a success and provide you with the best personal user experience. In order to do so, we will collect information about your use of the Service. Furthermore, we also want to conduct statistical analyses of how our products are used in general, and when you make use of the Service, we also collect information for internal business intelligence purposes.

Clio might process personal data that is not directly collected through you. For example, we might receive certain information from your employer or collect information that has been made publicly available on the internet.

Please be aware that we only collect information about you when it is necessary and we have a justified reason for collecting it. The majority of the personal data we collect and process is necessary in order for us to be able to fulfill our obligations towards our customers, users, suppliers etc. If you do not want us to process your personal data, you will not be able to use most of our services. For example, it is not possible to be a customer or receive our newsletter if we cannot process your personal data, and it will not be possible for you to use the Service if we cannot identify who you are.

Personal data collected by Clio is solely used for internal purposes, and we will not disclose or share information with third parties unless we are required to do so in order to comply with applicable law or a court-mandated order.

Although we do not disclose or transfer your information, you should be aware that we use data processors for all the purposes mentioned above. Among other things, we use data processors and dedicated tools for hosting all of our user and customer information, and we use data processors for sending out newsletters, surveys and marketing material from Clio. Furthermore, we have decided to host the Service through a third-party server in the European Union as we believe this will provide the best level of security for your personal data. It is important for us to emphasize that the data processors are only allowed to process the personal data for specific purposes as instructed by us, and they are not allowed to use the data for their own purposes. In order to ensure that your personal data will be used for legal purposes only, we are very careful when selecting our data processors, and we make sure that we have entered into a data processing agreement with all of our suppliers.

Some of our data processors are located in the US or other countries outside of the European Union, and your personal data might be processed outside the EU. We do ensure that such data processors are either EU-US Privacy Shield Certified or have signed the EU Commission Model Clause on the processing of personal data, thereby committing to process personal data in accordance with the GDPR and European data protection laws.

As we store and process your personal data for different purposes, it is difficult for us to give you a specific time frame for when we delete your data. However, we will only process data for as long as it is necessary and legal in order to fulfill the purposes for which the data was collected. For example, customer and user information will be processed for as long as the user is active since we otherwise would not be able to fulfill our obligations.

In order to safeguard your personal data and your right to privacy, we have implemented a number of technical, physical and organizational security measures. We have adopted a set of internal guidelines for how to process and handle personal data, and we make sure that only employees specifically tasked with handling your personal information have access to it. Furthermore, we have adopted information security policies that apply to all employees, and we regularly educate our employees on how to handle personal data and why it is important to handle your personal data in a safe and secure manner.

As technology and our services may change over time, this privacy policy will also be subject to changes, and you should be aware that this privacy policy will change from time to time in order to reflect the actual level of processing activity. We encourage you to visit this website every now and then to stay up to date on the most recent changes, but we will notify you if we make any substantial changes that will impact you or your right to privacy.

You always have the right to know what information and data we process about you and why, and you can get this information by contacting us directly. If you think we are processing your data illegally, you also have the option to object to the processing. If you do so, we will assess your request and decide to what extent we are able and required to accommodate it.
